New Hire Onboarding Checklist

Complete this checklist for every new employee. Target: all items done within first 2 weeks.

Day 1 — Paperwork & Access

  • Complete W-4 and I-9 forms
  • Set up Paychex account (HR creates, employee completes profile)
  • Issue building access card / alarm code
  • Provide employee handbook (acknowledge receipt in writing)
  • Assign locker and PPE (production staff)
  • Add to Zoho Mail — [name]@globalfoodsolutions.co
  • Add to relevant email groups (all-staff, department)

Day 1–3 — System Access

  • Create NetSuite account (if applicable — ask Michael)
  • Set up workstation / laptop (IT tab on Hub for WiFi credentials)
  • Add to GFS Corporate Hub — show them how to use it
  • Add to Claude Team account (if using AI tools)

Week 1 — Training

  • Food safety orientation — Sydney Langhorn
  • GMP training (Good Manufacturing Practices)
  • Allergen awareness training
  • Fire safety and emergency exit walkthrough
  • Chemical safety (SDS locations, spill procedures)
  • Department-specific training with supervisor

Week 2 — Follow-Up

  • Verify all paperwork is filed
  • Confirm Paychex is set up for payroll
  • 1-on-1 check-in with supervisor
  • Verify all system access is working
  • Add to Org Chart on Corporate Hub
